Legal and privacy
Privacy Policy
Effective September 23, 2026
This policy explains how Guard Mission collects, uses, discloses, and retains information when security companies, their personnel, and authorized clients use our websites, dashboards, and Guard App.
1. Information we handle
Depending on the features your security company enables and the work assigned to you, we may process:
- Account and contact information, such as name, email address, phone number, company, role, and authentication identifiers.
- Workforce and qualification information, such as assignments, schedules, guard profiles, availability, licensing, certification, and training records supplied by your organization.
- Operational records, such as shift activity, timekeeping events, checkpoint scans, tours, parking checks, post-order acknowledgements, passdown notes, messages, incidents, panic events, reports, and supervisor review history.
- Evidence and media, such as photos, voice notes, on-device transcriptions, OCR-assisted plate, permit, or VIN entries, and related capture metadata.
- Location information, as described below, including precise location during authorized work and safety workflows and derived geofence results.
- Device, diagnostics, and usage information, such as device and app version, notification token, permission state, network and battery status, IP address, timestamps, audit logs, errors, and security events.
- Support, sales, and billing information submitted through Guard Mission's company-facing services. The Guard App itself is not a billing or direct-support surface.
2. How we use information
We use information to:
- authenticate users and enforce company, role, site, and client access;
- provide assigned shifts, site instructions, checkpoints, incident capture, safety workflows, offline synchronization, notifications, and client-approved proof;
- verify attendance and geofence state, preserve evidence timing, and help operations teams respond to exceptions;
- secure, monitor, troubleshoot, maintain, and improve Guard Mission;
- prevent fraud or misuse, comply with law, and protect users, customers, Guard Mission, and the public; and
- provide company-level support, administer subscriptions, and communicate about the service.
Guard Mission does not sell personal information or use Guard App information for third-party advertising.
3. Location, camera, microphone, and notifications
The Guard App requests permissions when they are needed for assigned field work. Your organization is responsible for giving any additional workplace notice or obtaining consent required by local law.
- Location. Precise location may be processed during an authorized shift, tracking session, arrival reminder, panic alert, incident, checkpoint, or dispatch workflow. Background location may be used near assigned shift start times and while an authorized workflow is active. The app stops active-shift tracking after clock-out.
- Routine geofence checks. Guard Mission uses precise location transiently to determine site presence. Routine checks retain the resulting geofence status rather than a continuous movement trail. Exact coordinates may be retained when they are part of an explicit incident, checkpoint, clock, panic, safety, audit, or compliance record.
- Camera and photos. Camera or photo access supports incident evidence, profile photos, parking workflows, and OCR-assisted capture.
- Microphone. Microphone access is used only when you choose a voice-enabled evidence or reporting workflow.
- Notifications. Notification permission supports shift, arrival, checkpoint, dispatch, incident, safety, and account messages.
You can change app-level privacy preferences or device permissions, but a required field workflow may be unavailable when its permission is disabled.
5. Security
We use administrative, technical, and organizational safeguards designed to protect information, including authenticated access, role and site scoping, encrypted network transport, controlled cloud storage, and audit records. No method of storage or transmission is completely secure, so we cannot guarantee absolute security.
6. Retention and deletion
Guard Mission's current product retention schedule is:
| Information | Current retention |
|---|---|
| Live Map location | Latest point only, for no more than 15 minutes from capture |
| Device-health snapshot | Latest snapshot only, for 24 hours |
| General audit logs | 1 calendar year |
| Incidents, reports, evidence, shifts, and operational history | 7 calendar years from creation, or from scheduled shift end for shift records |
| Incident, checkpoint, and clock-event location proof | The same 7-year operational-evidence period |
| Active account, company, permission, and site configuration | While the company needs the record |
Restricted disaster-recovery backups expire within 35 days and are not customer archives. A company's billing-authorized administrator may cancel the company account, which revokes access and starts deletion of company accounts, operational records, evidence, reports, and configuration, subject to narrow legal, security, or transaction-record exceptions. There is no guaranteed restore or post-cancellation export period.
7. Your choices and requests
You may review certain account and work information in Guard Mission and control available app permissions through the Guard App and your device. Guards should contact their security-company supervisor or administrator to request access, correction, or deletion of employment and operational records. The security company can then contact Guard Mission when platform assistance is needed.
Privacy rights differ by location. Subject to applicable law and appropriate identity verification, you may have rights to access, correct, delete, or obtain a copy of personal information, or to object to or restrict certain processing. Email help@guardmission.com for a privacy request.
8. Children
Guard Mission is a business service for private-security operations and is not directed to children under 18.
9. Changes to this policy
We may update this policy as the service or legal requirements change. We will post the updated policy here, change the effective date, and provide additional notice when required by law.
